Privacy notice.

Who we are

Votra Group Ltd is the data controller for the personal data described here. We are registered in England & Wales, company number 08355305, at Solar House, 915 High Road, London N12 8QJ.

The short version

This website sets no cookies, runs no analytics, loads nothing from third parties and has no forms. Fonts are served from our own domain. There is no tracking to opt out of, because there is none.

The only personal data we hold about you is what you choose to send us by email, plus the technical logs our host keeps in order to serve and protect the site.

What we process

If you email us

Your name and email address, and whatever you choose to tell us about your organisation and the work you are considering. We read every message ourselves.

Technical logs

Our host records the usual request data — IP address, time, page requested, browser type — to deliver the site and defend it against attack. We do not use it to identify or profile visitors.

Why, and on what basis

For correspondence, our lawful basis is legitimate interests: responding to a business enquiry that you initiated. Where we go on to work together, we process your data to perform that contract.

For technical logs, our lawful basis is legitimate interests in keeping the site available and secure.

We do not send marketing emails, we do not build a mailing list, and we do not sell or share data for anyone else’s marketing.

Who else sees it

Two processors, both acting on our instructions:

  • Google — our email is Google Workspace, so correspondence sent to us is stored there.
  • Cloudflare — hosts and delivers this website and keeps the technical logs described above.

We disclose personal data to no one else, unless we are required to by law.

Outside the UK

Both providers may process data outside the United Kingdom, including in the United States. Where that happens it is covered by the safeguards UK data protection law requires — adequacy regulations or the International Data Transfer Addendum to the standard contractual clauses.

How long we keep it

Correspondence that does not lead to work is deleted within two years. Where we are engaged, we keep records for six years after the engagement ends, which is the period we are required to retain business and tax records for. Technical logs are kept only as long as our host retains them, which is a matter of days.

Your rights

Under UK data protection law you have the right to:

  • ask what personal data we hold about you, and get a copy
  • have inaccurate data corrected
  • have data erased, where we have no continuing reason to hold it
  • restrict or object to how we use it
  • receive it in a portable format

Write to hello@votragroup.co.uk and we will respond within one month. There is no charge. We make no automated decisions about anyone and we do not profile.

Complaints

If you think we have handled your data badly, tell us first — we would rather fix it. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Changes

If this notice changes, the date at the top of this page changes with it. We do not notify past correspondents of changes, so check here if it matters to you.
